Private Staff Notes on Members

Overview

The User Notes module gives your staff team a private, persistent notepad for each member. Notes are never visible to the subject — only staff with the configured role (or Administrators) can view, add, edit, or delete them. Each note records who wrote it and when, providing a built-in audit trail. An optional log channel posts an embed whenever a note is added, edited, or deleted, giving your staff team full visibility into note activity.

Setup

  1. Run /settings usernotes to open the User Notes settings.
  2. Click Set Staff Role and select the role whose members can use notes. Without a configured role, only Administrators can access this feature.
  3. (Optional) Click Set Log Channel to select a channel where note activity (add, edit, delete) is logged.
  4. (Optional) Click Clear Staff Role to revert to Administrator-only access.

Usage

  • Adding a note — Run /note add @member. A modal opens where you enter the note content (up to 1,000 characters). Submit to save.
  • Viewing notes — Run /note view @member. An ephemeral embed appears showing all notes on that member, ordered newest-first. Each entry shows the note number, the author's mention, and how long ago it was written.
  • Log channel — If configured, every note add, edit, and delete posts an embed to the log channel showing the staff member, the subject, and the note content.

All responses are ephemeral — notes are never shown in public channels. The log channel is the only place note activity appears outside of the note commands.

Commands

/note add

  • Description: Opens a modal to add a private note about a member.
  • Parameters: user (User, required) — the member to note.
  • Permissions: Administrator, or the role configured in /settings usernotes.
  • Available On: Both.

/note view

  • Description: Shows all notes on a member with edit and delete controls in the response.
  • Parameters: user (User, required) — the member whose notes to display.
  • Permissions: Administrator, or the role configured in /settings usernotes.
  • Available On: Both.

/settings usernotes

  • Description: Opens the User Notes settings menu.
  • Parameters: None.
  • Permissions: Administrator.
  • Available On: Both.

Tier Limits

The limit applies to the number of notes per subject member per server, regardless of how many staff members contribute.
